सरकारी बायोडाटा क्या है — What Is a Sarkari Bio-Data?

A sarkari bio-data (सरकारी बायोडाटा) is not a resume. It is a prescribed government document format that includes personal details — father's name, caste category, religion, nationality — that a private-sector resume never includes. Government exam bodies (SSC, RRB, UPSC, State PSCs) each define their own form structure, and deviating from it can result in rejection at the document verification (DV) stage.

The key difference: a resume markets you; a bio-data records you. Government recruiters verify facts against original certificates — they do not evaluate creative formatting or career narratives.

Bio-data includes personal details a resume does not

Father's name, mother's name, caste category, religion, nationality, and marital status are mandatory fields. These would be illegal to ask for in most private-sector applications, but they are required by government notification formats.

Section 02

Regardless of exam body, every sarkari bio-data requires these fields. The 10th (दसवीं) marksheet is your master reference document — every name, date, and personal detail must match it exactly.

Full Name / पूरा नाम

As printed on 10th certificate. Do not use abbreviations (e.g., write 'Ramnath' not 'R.'). Mismatch between Aadhaar and marksheet is a common rejection cause.

List in chronological order, latest first: Graduation → Class XII → Class X. Each row must include: Board/University (बोर्ड/विश्वविद्यालय), Year of Passing (उत्तीर्ण वर्ष), Total Marks & Marks Obtained, Percentage (प्रतिशत), Division (श्रेणी). Calculate percentage yourself — auto-calculated values with decimal errors get flagged.

Verified by OTP during OTR registration. Keep the same mobile active throughout the recruitment cycle — DV intimation, admit cards, and joining letters arrive via SMS.

SSC — CGL / CHSL / GD Constable / MTS

OTR-based registration at ssc.gov.in. Photo requirements: 4KB–12KB, JPG format, white background only. Signature scan: 1KB–12KB, blue or black ink on white paper. Name in OTR must exactly match 10th marksheet — even a middle name gap causes rejection at DV. Age relaxation: 3 years OBC, 5 years SC/ST. Zone/Region preference required for posting allocation. RRB Railway — NTPC / Group D / ALP / Technician

Registration at rrbapply.gov.in. DV requires Aadhaar-based biometric authentication — your fingerprint or iris scan is verified against Aadhaar at the DV centre. If your Aadhaar name does not match the application form, biometric login fails and you cannot proceed. Community certificate must be in Central Government format (not state format) for Railway posts. Carry original Aadhaar + all certificates + 8–10 passport photos. State Police — Constable / SI / ASI

Physical measurement details required: height (ऊंचाई), chest (सीना) with expansion, and weight (वजन). PET/PST results may be attached. Domicile/residence certificate (निवास प्रमाण पत्र) is mandatory — you can only apply for your state. Character certificate from local SP/DSP office required. Each state has its own recruitment portal and form format — check your state police recruitment board website.

State PSC — UPPSC / BPSC / MPPSC / RPSC

Application format varies by state commission. UPPSC uses uppsc.up.nic.in, BPSC uses bpsc.bih.nic.in, MPPSC uses mppsc.mp.gov.in. Most state PSCs allow Hindi (Devanagari) as the medium of application. Domicile certificate of the respective state is mandatory. Interview carries 75–200 marks depending on the state — your bio-data is the panel's primary reference document.

Defence — Army / Navy / Air Force Rally Entry

Uses prescribed bio-data form from joinindianarmy.nic.in. Additional fields: NCC certificate grade (A/B/C), sports achievements at national/state level, relationship certificate if applicable (son/brother of serving/ex-serviceman). Medical category SHAPE-1 required for most entries. For Agniveer entry, Aadhaar-linked registration is mandatory. Rally schedule and form available at joinindianarmy.nic.in.

Wrong photo specifications are one of the top reasons for application rejection. Each exam body has precise requirements — do not use a generic studio photo without checking.

SSC Photo Specs

File size: 4KB–12KB. Format: JPG/JPEG only. Background: white (सफ़ेद) — no blue, red, or patterned backgrounds. Must be recent (taken within last 3 months). Face should cover 50–70% of the frame. Source: SSC OTR photo upload guidelines.

RRB / Railway Photo Specs

Recent passport-size colour photograph: 3.5cm × 4.5cm. White background. Date printed on the photo strip is preferred. Same photo must be used across application, admit card, and DV — mismatch leads to identity verification failure.

Signature Scan Requirements

Blue or black ink on white paper. File size varies by exam body: SSC requires 1KB–12KB, RRB typically 10KB–40KB. Sign within the designated box — overflow is auto-rejected by upload validation. Do not use digital/electronic signatures unless specifically allowed.

Document Scan Standards

Scan at 200 DPI minimum. File size usually 50KB–500KB per document (check notification). PDF or JPG as specified. Ensure text is legible — blurry scans are rejected at DV. Use a scanner app like Adobe Scan or CamScanner if you don't have access to a physical scanner.

Aadhaar Linking

Mandatory for RRB biometric verification. Name on Aadhaar must exactly match the application form. If there is a mismatch, update Aadhaar first at your nearest Aadhaar Seva Kendra before applying. DigiLocker (digilocker.gov.in) is accepted for some exams — check the notification.

घोषणा और स्व-प्रमाणन — Declaration & Self-Attestation Format

The declaration section is mandatory in every sarkari bio-data. An unsigned or undated declaration is treated as an incomplete application. Here is the exact text you need in both English and Hindi.

"मैं एतद्द्वारा घोषणा करता/करती हूँ कि ऊपर दी गई सभी जानकारी मेरी जानकारी और विश्वास के अनुसार सत्य, पूर्ण और सही है। यदि किसी भी स्तर पर कोई जानकारी असत्य या भ्रामक पाई जाती है, तो मेरी उम्मीदवारी/नियुक्ति बिना किसी पूर्व सूचना के रद्द/समाप्त की जा सकती है।"

Below the declaration, write: स्थान (Place): ________, दिनांक (Date): ________, and your हस्ताक्षर (Signature) in blue or black ink.

Self-Attestation / स्व-प्रमाणन कैसे करें

Write 'Self-Attested' (स्व-प्रमाणित) on each photocopy, followed by your signature and the date. Use blue or black ink only. This is required at DV — unattested photocopies are not accepted.

Multi-page documents

Each page of multi-page documents (marksheets, degree certificates) must be attested separately. Do not just attest the first page.

Gazetted Officer attestation

Section 06

DV में रिजेक्शन की आम गलतियां — Common DV Rejection Mistakes

Document Verification is the final hurdle — clearing the written exam and physical test means nothing if your documents are rejected. These are the most common mistakes, sourced from official SSC and RRB rejection reports and candidate feedback forums.

नाम में मिसमैच — Name mismatch between 10th certificate and application

The most common rejection reason. Your name must be letter-for-letter identical across: 10th marksheet, Aadhaar, application form, and OTR registration. Even 'Kumar' vs 'Kumr' or a missing middle name causes rejection.

OBC certificate without NCL clause

A general OBC certificate is NOT accepted for central government reservations. The certificate must explicitly state 'Non-Creamy Layer' with family income below ₹8 lakh per annum. It must be issued by a competent authority (District Magistrate, SDM, or Tehsildar).

EWS certificate from previous financial year

EWS (Economically Weaker Section) certificate is valid only for the financial year in which it was issued. If you applied in FY 2025–26 with a FY 2024–25 certificate, it will be rejected at DV. Get a fresh certificate each year.

Expired or state-format caste certificate

For central government posts (SSC, RRB), the caste certificate must be in the Central Government prescribed format. Some state-format certificates are not accepted. Check SSC's 'Format of Certificates' page at ssc.gov.in for the exact format.

गलत फोटो — Wrong photo specifications

Photo with blue/red background instead of white, file size above 12KB for SSC, or a photo older than 3 months. At RRB DV, your face is matched against the photo on your admit card — using different photos at different stages is flagged.

बिना हस्ताक्षर की घोषणा — Unsigned or undated declaration

The declaration section must have your handwritten signature AND date. A typed name is not accepted as a signature. Missing either makes the form 'incomplete' and it is rejected without further review.

Aadhaar name mismatch for RRB biometric

RRB uses Aadhaar-linked biometric authentication at DV centres. If your Aadhaar name doesn't match your application, the biometric login fails and you are marked 'absent' — equivalent to rejection. Update Aadhaar before applying.

Carrying photocopies without writing 'Self-Attested' + signature + date on each page. Unattested photocopies are not accepted at any government DV centre.

Section 07

स्टेप-बाय-स्टेप बायोडाटा बनाएं — Step-by-Step Bio-Data Creation

Follow these steps in order. Do not skip the verification steps — one mismatch can undo months of exam preparation.

Step 1: Gather all original documents

Collect: 10th marksheet & certificate, 12th marksheet, graduation degree/provisional certificate, caste/category certificate (if applicable), EWS certificate (current FY), Aadhaar card, PAN card, domicile/residence certificate (for state exams), and passport-size photos.

Step 2: Verify name consistency

Compare your name across 10th marksheet, Aadhaar, PAN, and caste certificate. If there is ANY mismatch — even a spelling variation — get it corrected BEFORE applying. Aadhaar correction takes 7–15 days at an Aadhaar Seva Kendra.

Step 3: Get passport-size photos as per exam specs

Get photos taken against a white background. Ask the studio for both printed copies AND digital files in the exam's required file size (4KB–12KB for SSC, 10KB–50KB for RRB). Keep at least 10–12 identical photos.

Step 4: Fill personal details section

Use 10th certificate as the master reference. Write your name, father's name, DOB, and other details exactly as they appear on the marksheet. Do not transliterate — copy character by character.

Step 5: Fill educational qualifications table

Calculate percentage manually: (Marks Obtained ÷ Total Marks) × 100, rounded to 2 decimal places. Verify division: First (60%+), Second (45–59.99%), Third (33–44.99%). For CGPA, use your university's official conversion formula.

Step 6: Add work experience (if applicable)

Include exact joining and leaving dates (DD/MM/YYYY). If you have no experience, write 'Nil' (शून्य) — never leave blank. Include internships, apprenticeships, and contractual roles.

Step 7: Write the declaration

Copy the declaration text exactly as shown in Section 5 of this guide. Sign with blue or black ink. Write the place and date below your signature.

Step 8: Self-attest all photocopies

Write 'Self-Attested' (or 'स्व-प्रमाणित' in Hindi), your signature, and the date on every page of every photocopy. Use the same signature you used on the declaration and application form.

Step 9: Prepare 4–5 complete document packets

At DV, you submit one set and may need extras. Each packet should contain: bio-data, all self-attested photocopies (in order), passport photos, and the original admit card/call letter. Keep originals in a separate folder — they are shown for verification but not submitted.

Declaration text (हिंदी): 'मैं एतद्द्वारा घोषणा करता/करती हूँ कि ऊपर दी गई सभी जानकारी मेरी जानकारी और विश्वास के अनुसार सत्य, पूर्ण और सही है। यदि किसी भी स्तर पर कोई जानकारी असत्य या भ्रामक पाई जाती है, तो मेरी उम्मीदवारी/नियुक्ति बिना किसी पूर्व सूचना के रद्द/समाप्त की जा सकती है।' Declaration के नीचे स्थान, दिनांक, और हस्ताक्षर लिखना अनिवार्य है।

हाँ, अधिकांश State PSC exams (UPPSC, BPSC, MPPSC) और कुछ central exams में Hindi (Devanagari) में आवेदन की अनुमति है। Notification में 'medium of application' (आवेदन का माध्यम) देखें। SSC और RRB forms में कुछ fields English में ही भरने होते हैं (जैसे email, mobile number)। जहाँ Hindi option उपलब्ध है, वहाँ Hindi में भरने से कोई negative marking या rejection नहीं होता।
